User and business management, registration

How can I cancel my VOSZPort account?

To delete your account, go to the Profile Management menu. When editing your own profile, select the “Delete account” option. Enter your password and click the “Delete account” button. This permanently terminates your VOSZPort account and all related data.

What should I do if I have forgotten my password?

If you have forgotten your password, click on the “Forgot your password?” link on the login page and enter your registered e-mail address. The system will then send you an e-mail with instructions for resetting your password.

How can I add more businesses to VOSZPort?

To add a new business, go to the Profile Management homepage and click on the “Add a new business” button. Then enter the details of the new company as before. You can switch between businesses using the drop-down menu on the right-hand side of the top bar.

How can I add my business details to the account?

After the first login, you will be asked by the system to enter your company details. Select the type of business (individual or partnership) and enter its name. Then check and complete the data, and finally save them with the “Save” button.

What information do I need to register for VOSZPort?

To register, you will need to provide your full name, e-mail address and choose a password. After entering your details, click on the “Register” button. The system will send you a confirmation message by e-mail, which you can finalise by clicking on the “Validate” button.

User profile

How and where can I view my notifications?

You can access information about notifications by clicking on the bell icon in the top menu bar. Here you can see your current notifications, for example on new messages or system updates. Notifications are also available from the Notifications tab on the Homepage.

How can I add a new user to my business?

To add a new user, the person wishing to join must register with their e-mail address and enter their company. The system then sends a notification about the access request. The decision to accept or reject the request can be made by the company’s users with admin rights in the Profile Management menu.

How can I upload a profile or company logo?

To upload a logo, go to the Profile Management menu and select the “My Businesses” tab. Click on the edit icon in the row of the company you wish to edit, and in the window that appears, upload the logo as specified.

Where can I change my personal data?

You may edit your personal data in the “My Profile” tab in the Profile Management menu item. Clicking on the pencil icon next to the data will open the editing interface where you can modify them. You may finalise your changes by clicking the “Save” button.

Menu system and navigation

How can I navigate between the different functions?

There are basically two ways to navigate between the different services: via the menu system on the left or via the control tiles on the homepage. In both cases, the role and the subscription package determine the functions available.

What are the quick buttons on the homepage for?

The control tiles at the bottom of the Homepage give you direct access to the functions that are most relevant to you. The tiles are displayed similarly to the menu on the left, based on role and subscription package.

How does the menu system on the left work?

The menu bar on the left contains VOSZPort services grouped by function. Each menu item may also contain submenus. The menu system can be closed if necessary. Certain menu items are available based on role and subscription plan.

What can I find on the VOSZPort homepage?

Invoicing and finances

How can I retrieve my financial reports?

  • On the homepage (Control Panel), the VOSZPort system provides various statements to help you view the current financial situation of your business. These statements are based on incoming and outgoing invoices, including invoices issued in other invoicing systems. Examples of such statements are the VAT statement and the summary of accounts receivable. For the homepage statements to work properly, you need to set up NAV data synchronisation in the Invoice Manager and under Profile Management/My Businesses.
  • You can access your official financial reports (such as the previous year’s balance sheet) by clicking on the Business Development/My Company Information menu item (then redirected to VALI.hu). 

Where can I view my incoming and outgoing invoices?

You can view your invoices in the Outgoing Invoices and Incoming Invoices submenus of the Invoice Manager menu item. Here you can see your current and previous invoices, their status and perform various operations on them (e.g. cancel, copy, send). The function only works if you have set NAV synchronisation. It is strongly recommended that you set this, as all invoices issued must be uploaded to NAV Online Invoicing under current legislation. You can do this in Profile Management.

How can I issue a new invoice?

You can create a new invoice in the Invoice Manager/New Invoice menu item. Select the type of invoice, enter the customer details, payment deadline and method, then add the invoice items. Check the data and click on the “Finalise” button.

How can I set my invoicing information?

You can enter your invoicing details in the Invoice Manager/Settings menu item. Here you can set the default invoice parameters and specify your account holder bank and bank account.

Managing customers and partners

How can I save my customer data from the VOSZPort Invoice Manager to the My Partners menu item?

If you issue a new invoice in the VOSZPort Invoice Manager and enter the customer’s details in a way that the relevant company’s details (name, address, tax number) are not yet contained in the My Partners database, these details will be automatically saved in the My Partners menu item after the invoice is issued. The system checks the company’s name, address and tax number for exact match.

Where is the partner data transferred from to the Customer Relationship Management (CRM) module?

Partner data manually entered in the My Partners menu item or saved in the Invoice Manager module when a new invoice is issued will be automatically synchronised in the Customer Relationships module within one hour. Thanks to the data synchronisation, new partners can be recorded or modified in the Customer Relationships module as well, which data will also appear immediately in the My Partners menu item.

What happens if I delete a partner’s details from the My Partners menu?

If you delete a partner from the My Partners menu item, you permanently delete all of the partner’s data from the VOSZPort database. The data of partners deleted from the My Partners menu item are also automatically deleted from the Customer Relationships database. At the same time, partners deleted from the Customer Relationships database are not deleted from the VOSZPort My Partners database! It is important to note that the permanent deletion of partner data can only be initiated in the My Partners menu item.

How can I add a new customer to the system?

You can add a new partner in the Customers/My Partners menu item. In the form that appears, enter the partner’s basic details (name, address, tax number, etc.), contact information and bank account number. You can save the new customer’s details by clicking on the “Save” button. A new customer entered during invoicing is automatically added to your partners. This is also true the other way round: when you issue a new invoice in the Invoice Manager, you can choose from both your partners and the companies in the company information database.

Use of Marketplace

How can I contact a service provider through the Marketplace?

You can view the contact details of the service provider by clicking on the Contact button in the advertisement. Here you will find the phone number, e-mail address and web address provided. Direct messaging or ordering via VOSZPort is not possible.

How can I manage the ads uploaded to the Marketplace?

You can view and edit your advertisements on the My Publications screen of the service providers’ marketplace. You can see your uploaded offers in the table, and you can change them by clicking on the additional actions function.

How can I upload a new product or service to the Marketplace?

Go to the Marketplace/Enter the Service Provider Marketplace menu item and click on the “Register a new product/service” button. Enter the necessary data (name, description, price, etc.), upload images, set the category and target group. After approval by the administrators, your offer will be displayed.

What can I use the Marketplace function for?

The Marketplace is used to advertise and search for services and products. Companies registered on VOSZPort can present their offers to other businesses here. You can also search the offers by category and keywords.

Own company data and financial rating

How can I get quick feedback on my company’s financial situation and creditworthiness?

The company rating is available on the business ratings page of  VALI.hu, where you will be redirected from the Business Development/SME Rating Module menu item. Here, the system automatically evaluates and ranks your business based on financial indicators and ownership background. The details of the rating can also be viewed.

How can I see what funding or tender opportunities are available for my company?

There are two ways to access financing options. On the one hand, by going to the menu item Business Development/My Company Information, which redirects you to the VALI.hu website. Here, in the “My Options” menu item, you can find information about available subsidised loans, tenders, capital programmes, compared with your company’s financial data. On the other hand, under the menu item Business Development/Financing Options, you may choose from the options “Tenders”, “Resource Map”, “Business Development Services”, which will also direct you to the relevant page on VALI.hu. You can also enquire directly about EU funding.

How can I get detailed insight into my company’s financial performance?

On the  VALI.hu website, where you will be redirected from VOSZPort, detailed financial and headcount graphs show your company’s performance over the past period. You can view specific data for each year by clicking on the elements of the bar graphs.

Where can I view my company’s details within VOSZPort?

Subscriptions

What do I do if I wish to return to a previous basic package and access the functions I used in the past?

Switching back to a previously used package will make all your previous data and settings available again. The information recorded in the previous package (e.g. invoice data, partners) will not be lost, they will be automatically accessible after the return to a previous package.

What functions are available in the basic package and how can I activate the additional modules?

The basic functions available in each service package are determined by VOSZ, typically these are Invoicing, Statements, CRM/Customer Relationship, Knowledge Base, etc. The additional modules (e.g. Appointment Booker, HR, E-Contract) are independent of the subscription, you can switch them on or off in the Subscriptions menu item.

What options do I have to change my subscription package, and what happens to my data in the event of a package change?

You can switch between packages in the Subscriptions menu item. Click on the “Change package” button next to the desired new package, and after confirmation, the change will take place. The data recorded in the previous package will be preserved, but only the functions of the new package will be available.

How does the automatic package offer work after I register my business?

On the basis of the business data provided when registering (e.g. number of employees, turnover, scope of activity), VOSZPort automatically classifies your company into a so-called “persona” category and offers you a service package by default.
