Registration and login

How do I enter my business details when registering?

When logging in for the first time, you will be asked to enter your business details. Choose whether you want to register a sole proprietorship or a partnership, then type in the name of the business and select it from the list. Then check and complete the displayed data. Register your business by pressing the “Save” button.

What should I do if I have forgotten my password?

On the login page, click on the “Forgot your password?” link. Enter the e-mail address you used when registering. The system will then e-mail you a link to set a new password. Click on the link, enter your new password and finalise the operation with the “Change password” button.

How can I register for VOSZPort?


On the VOSZPort website, click on the “Register” button, then fill in the mandatory data fields, accept the terms of use, and click on the “Register” button. You can then finalise your registration by clicking on the link sent to the e-mail address you provided.

Invoicing

If I register, will NAV see everything, including my trade secrets and partners?

No, the NAV only sees the invoice data required by law, to be reported on a mandatory basis. Confidential business information, contracts, quotations and other sensitive data will not be transmitted. VOSZPort pays particular attention to data protection and data security.

Does the VOSZPort Invoice Manager have NAV approval?

Yes, VOSZPort’s Invoice Manager complies with all legal requirements and is approved by NAV for data reporting functions.

How can I manage my outgoing and incoming invoices?

In the Outgoing and Incoming Invoices submenus of the Invoice Manager menu item, you can view your invoices listed by status. For outgoing invoices, you can cancel them, make a copy of them, send an e-mail or change the invoice status. You can also track overdue and paid invoices. You can also monitor the status of incoming invoices.

How can I connect the VOSZPort Invoice Manager to the NAV online invoicing system?

To do this, you must register on the Customer Portal and then enter the NAV online invoicing system. There you need to create a technical user and generate the necessary signing and replacement keys. You can then enter the data on the Data Connections screen of the VOSZPort Profile Management menu item, creating the data synchronisation.

How can I create a new invoice?

You can open the invoice creation form by clicking on the “New invoice” button in the Invoicing menu item. Here you need to select the type of invoice (delivery note, prepayment request, advance invoice, final invoice), enter the details of the customer, add the individual items and then set the payment deadline and method. You can save the invoice by clicking on the “Finalise” button.

Bank synchronisation

How can I match my invoices and bank transactions?

You can download the balance and transactions related to the bank account number in the Bank Transactions menu item. The bank data shown here will only be displayed if there is a bank data connection authorised for the business. You can then match the downloaded transactions with your issued invoices, making it easier to track financial transactions and bookkeeping tasks.

How can I synchronise my bank transactions with VOSZPort?

In the Profile Management/My Businesses/Data Contacts menu item, you need to set up the bank syncronisation function. Here you must enter the identification data required to access the electronic bank account and then approve the data connection. You can then query the turnover of individual bank accounts in the Bank Transactions submenu of the Finances menu item.

Customer and product management

Can I use VOSZPort’s CRM functionality to manage my existing customer relationships?

Yes, VOSZPort’s CRM module provides the opportunity to register and manage customer relationships. You can transfer your existing customer data here and monitor the processes and events related to them. The data recorded in the Partners submenu of the Customers menu item is automatically synchronised by the system with the CRM.

How can I register my products or services?

You can add your services and products in the My Products submenu of the Customers menu item. When adding a new item, the identification data, prices and VAT classification must be provided. The invoicing system will automatically receive the products from here as well.

How do I add a new customer or partner to the system?

You can add a new partner in the My Partners submenu of the Customers menu item. Here you will need to enter the partner’s basic details, contact and invoicing information. For VOSZ members, the system automatically fills in the data. Partners are also automatically transferred to the invoicing system.

Reports and statements

What data can I see on the homepage dashboard?

On the Homepage, in addition to financial data, you can see invoice data and open items for the current month. In addition, we also display the most important basic data about your company. You will find statistics on invoices, customers and suppliers that help you to understand your business and make decisions.

How can I monitor the performance of my business in the system?

In the financial section of the homepage, numerous statements provide a quick overview of your company’s financial situation: monthly income-expenditure balance, tax balances, accounts receivable, overdue items. These graphs and indicators help you assess the current performance of your business and identify key areas.

What financial reports and statements can I prepare with VOSZPort?

On the control panel on the homepage, you can choose from a number of predefined statements, be it current financial results, VAT results, accounts receivable or gross income and expenses per partner. You can also access your financial reports by clicking on Business Development/My Company Information, which will redirect you to the  VALI.hu interface. Here, you can run detailed, customisable reports with different filtering criteria, which you can then conveniently export to multiple formats.

Marketplace and services

What external services can I access via VOSZPort?

Many external services are available integrated into VOSZPort. We provide a calendar and appointment booking function through the Booked4us system. The HR and working time records are provided by OL Munkaidő, and electronic contracting is provided by Eszerződés.hu. All external services can be used completely free of charge for 90 days. And in the case of ittírdalá.hu, which enables e-signatures, 10 free of charge document signatures are provided if the user registers directly from the VOSZ Port interface. These services effectively support the operation and administration of businesses.

How can I advertise my own products or services on the Marketplace?

You can upload your own products or services in the Marketplace/Service Provider Marketplace menu item. You can enter a description, upload images, set the category and the target group. After approval by the administrators, your offer will be visible to other users, so you can acquire potential customers.

What can I use the VOSZPort Marketplace function for?

The Marketplace is a platform for companies registered on VOSZPort to showcase their products and services. You can browse and search the range of offers based on categories and keywords. VOSZPort also displays the services that are relevant and recommended to you, helping you to build relationships and do business with other businesses.

Subscriptions

How can I change my package?

In the Subscriptions menu item, you may select the desired new package from among the packages. By clicking the “Change package” button next to the package, the system will ask for confirmation. After that, the package is changed, the functions are adjusted to the contents of the new package. The package change will take effect from the next invoicing period.

What subscription packages are available on VOSZPort?

5 different basic packages are available on VOSZPort, the contents of which can be viewed by users on the Subscriptions page. These basic packages contain various functions, such as Invoicing, Bank Transactions, Calculator, My Products or My Partners modules. In addition to the basic packages, additional modules are also available, such as Booked4us, HR, E-Contract and Google calendar, which users can turn on or off as needed. This way, everyone can find the combination that best suits the needs of their business.

Data security and support

How can I get help if I get stuck while using the system?

Several aids are available to support the use of the system. In addition to the Help function, the detailed User Manual is also available. The Knowledge Base contains tutorials and videos about the main functions. In addition to these, VOSZPort’s customer service is ready to help you by e-mail or by phone in case of any questions or issues that may arise. Our trained support team aims to find a solution to every customer inquiry as quickly as possible.

Who has access to my business data?

In principle, only persons authorised by you – employees, accountants, etc. – have access to your company’s data. Access to data must be controlled by you when managing users, by assigning appropriate permissions. VOSZPort staff may only access your data in exceptional and justified cases and only with your consent, for support or troubleshooting purposes only.

How secure are my data in the VOSZPort system?

Data protection and data security are a fundamental priority at VOSZPort. During the development and operation of the system, we take all necessary precautions to ensure data security, in accordance with ISO 27001 and GDPR regulations. The data stored on our servers are encrypted, and access is strictly controlled. We ensure the continuous protection of data with regular security audits and updates.
